Executive Assistant

The Executive Assistant will be responsible for supporting two senior executives by leveraging available resources to provide confidential and complex administrative support.


  • Manage the Patent Center for incoming and departing staff and associated audits. 
  • Manage the daily customer number report audit and report findings. 
  • Manage foreign associate correspondence routing.
  • Assist Chief Legal Services Officer with maintenance and updates to Firm wide Standard Charge Schedules and Client Engagement materials.
  • Assist the Chief Legal Services Officer with time entry.
  • Assist the Chief Legal Services Officer with event planning and/or firm culture related activities.
  • Assist the Chief Legal Services Officer with research and coordination of professional development trainings and resources for departments, groups, and/or individuals. 
  • Assist the Chief Legal Services Officer with compiling, editing, and formatting documents, spreadsheets, and other materials as requested.
  • Assist with processing responsible party updates for practice groups as needed.
  • This position will assist with a variety of other department related projects as requested.


  • Previous experience in an executive assistant capacity demonstrating strong administrative skills, high degree of professionalism and discretion, and experience working in professional services.
  • High degree of professionalism and discretion, and experience working in professional services. 
  • Prior law firm/IP support experience preferred.
  • Strong oral and written communication skills. 
  • Sound judgement, high level of integrity and professionalism with the ability to handle confidential information. 
  • Ability to work independently with limited direction and work collaboratively with all firm members. 
  • Intermediate proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Propensity to learn other software as needed.

In this typical office setting, an employee will encounter standard office equipment and any noise associated with that equipment. The noise level is usually quiet to moderate.  The office setting of Wolf Greenfield requires the ability to manage multiple work priorities along with frequent interruptions.
